Help Wanted: Staff Assistant - Dean of Student Services

Salary:  $31,200K -$36K Annually
Staff Assistant - Dean of Student Services

The Staff Assistant provides various administrative and clerical duties in support of the Dean of Student Services including planning and implementing special projects and activities that are under the Dean’s authority.

Qualifications

·         Associate degree from a regionally accredited institution

·         3-5 years of experience in an office setting preferred

·         Community college experience preferred 

·         Budget management experience preferred

·         Excellent organizational, interpersonal, and communication skills 

·         Knowledge of general office practices and procedures 

·         Proficiency in Microsoft Office software and the use of a variety of office equipment to include fax machine, photocopier, scanner, and videoconferencing and telephone systems

Working Conditions

·         Typical office environment 

·         Frequently sitting at a desk using a telephone, computer, keyboard, and mouse 

Essential Functions and Responsibilities

The duties of the Staff Assistant include, but are not limited to: 

·         Plan and schedule meetings and appointments 

·         Organize and maintain paper and electronic files 

·         Compose internal and external correspondence 

·         Prepare reports, create presentations, manage projects, and conduct research 

·         Maintain the calendar of events for the Dean of Student Services

·         Manage various budgets and order supplies necessary for the smooth operation of the departments within Student Services

·         Track the budget expenditures and allotments for the departments within Student Services 

·         Assist with the office inventory of equipment

·         Process and distribute mail on a daily basis for the Student Services Division

·         Make travel arrangements as necessary for Student Services 

·         Record and prepare minutes of meetings chaired by the Dean

·         Coordinate social functions on campus when necessary 

·         Interact with various individuals and groups such as students, faculty, staff, and senior administrators 

·         Perform other duties as assigned by the Dean of Student Services
